About the Role: Deliver comprehensive facilities and operational support for a major financial institution client’s global headquarters in Sydney CBD, ensuring the building and assets are maintained in optimal condition. Collaborate with the wider Facilities Management team to ensure top-tier services, including day-to-day building operations management, overseeing preventive maintenance, incident response, project support and reporting. Manage contractors to ensure compliance with safety and risk protocols while upholding business continuity and delivering a five-star user experience.

What You’ll Do:
Provide Facilities Management solutions and support across the client’s portfolio.
Coordinate with Facilities Management, Base Building and Engineering team members to ensure the delivery of the highest standards of service.
Act as primary liaison with the client regarding all Facilities Management matters for the site.
Manage contractors and ensure compliance with safety and risk management protocols.
Manage and report incidents.
Ensure all works are conducted in accordance with the client’s Facility and Engineering Guidelines.
Articulate and live the CBRE culture, set an example by modeling the required behaviors and hold others (employees and peers) accountable for their actions by identifying and acting on behavior which is inconsistent with agreed standards.
Comply with all CBRE systems used to meet health and safety obligations.
Create and nurture on-site client and stakeholder relations.
Manage environmental risk factors for minimization of risk to the client and their employees.
Utilise technology and data solutions to drive efficiencies in delivery and management of the facility.
Daily Building Operations
Ensure seamless daily readiness of building services and facilities to uphold uninterrupted business operations and minimize disruption to building occupants.
As a hands-on person, conduct regular walkthroughs of the building, promptly identifying and addressing issues to ensure perfect condition of both the building and its facilities.
Ensure delivery of all building services to a best in class standard.
On call availability and response to all critical issues and support the Base Building and Engineer teams as required.
Ensure operational checks and facilities inspections across your sites are carried out as per CBRE’s requirements.
Ensure all documents are managed and filed in accordance with CBRE’s, and the clients, systems and requirements. Maintain up to date documentation and compliances.
PPM & Vendor Management
Manage all PPM works and associated vendors across your sites, ensure all PPM works are scheduled in the CMMS.
Review and file service reports into SharePoint.
Assist Senior Facilities Manager with vendor management, including assuming responsibility for end to end management of selected vendors.
Attend vendor meetings.
In conjunction with the Senior Facilities Manager and the Procurement team periodically review maintenance and service agreements.
In conjunction with other Facilities Managers take the lead to improve vendor/contractor relations & performance.
Client Liaison
Liaise effectively with the client’s stakeholders and businesses.
Attend to all enquiries, complaints or requirements in a timely, courteous and efficient manner, with significant matters escalated to your direct manager and the client.
Maintain a no surprises mentality.
Provide direct, clear and concise communication on building related matters either through formal meetings or email correspondence on all issues including:
Programmed maintenance
Works involving interruption to services
Incidents
Any matters that may be escalated internally

What You’ll Need:
Minimum 2-3 years’ experience in facilities and/or building management role, including delivery of small works.
Strong knowledge of building services operations.
Diploma in Facility Management (preferred but not essential).
Experience in contractor management in commercial and industrial building environment.
A focus on quality and continuous improvement.
Strong Communications and interpersonal skills.
A commonsense approach and initiative when resolving issues.
Intermediate to advanced level in core Microsoft packages (Word, Excel, Outlook, PowerPoint and MS Project.)
