Role Description
An experienced Apprentice & RTO Administration Coordinator is required to support apprentice onboarding, training administration, compliance activities, and government-funded training programs within a Registered Training Organisation environment.
The successful candidate will manage apprentice commencements, enrolments, training plans, progression tracking, funding documentation, reporting obligations, and stakeholder engagement. You will play a key role in maintaining compliance requirements while supporting apprentices, employers, trainers, and funding bodies.
Key responsibilities include:
- Managing apprentice onboarding, commencements and enrolments
- Maintaining apprentice and employer records within aXcelerate
- Preparing, issuing and monitoring Training Plans
- Coordinating apprentice progress tracking and reviews
- Supporting funding claims, reporting and compliance documentation
- Monitoring deadlines and training obligations
- Liaising with apprentices, employers, trainers and compliance stakeholders
- Maintaining documentation for ASQA and government funding requirements
- Identifying and resolving documentation gaps proactively
- Supporting continuous improvement through automation, reporting tools and AI-assisted workflows

Essential Requirements
Required Role Experience:
- Previous experience managing apprentices or trainees using aXcelerate
- Experience supporting Queensland SAS funding contracts or similar government-funded training programs
- Experience preparing apprenticeship documentation, claims and reporting
- Strong understanding of apprentice Training Plans and progression tracking
- Experience working within an RTO or training compliance environment
Maintenance Qualification / Licence:
- Relevant administration, training, education or compliance background highly regarded
Work Rights:

- Currently located in Australia
Skills:
- Strong aXcelerate administration experience
- Knowledge of ASQA, DTET and RTO compliance requirements
- Excellent documentation and record management skills
- Ability to manage competing priorities and deadlines
