Reporting to the Manager, International Operations, you will provide high quality correspondence coordination and administrative support across the International Operations Directorate. The role has a primary focus on managing and coordinating divisional correspondence, supporting administrative systems and ensuring efficient workflow tracking and reporting. You will support meetings, coordinate divisional inputs, monitor workflows and assist with reporting. The role requires strong organisational skills, discretion and the ability to manage competing priorities while communicating professionally across the Division and with internal and external stakeholders.
Some of your responsibilities will include the following:
Coordinate and manage incoming and outgoing divisional correspondence, including mailbox monitoring, triage, tracking deadlines and maintaining registers in line with Queensland Government and TIQ standards.
Provide administrative coordination and workflow support across the Directorate, including tracking approvals, maintaining records and ensuring timely follow-up of actions.
Act as a coordination point for divisional administrative activities, including processing invoices, corporate card and expense claims, and supporting accurate financial tracking in accordance with policies and procedures.
Support divisional travel coordination, including booking and administrative arrangements for staff, domestic and international travel, as required.
Prepare and coordinate briefing materials, submissions, meeting documents and reports, ensuring accuracy, consistency and version control. Coordinate inputs from across the Division and relevant stakeholders.
Provide quality control for documentation, including formatting, completeness and approval pathway tracking, escalating issues to the Manager where required.
Support meeting preparation and follow-up, including coordinating agendas, papers, minutes and action tracking when requested.
Assist with divisional reporting requirements by consolidating inputs, preparing summaries and monitoring reporting timeframes.
In consultation with the Directorate team, support the maintenance and continuous improvement of administrative and information management systems, including filing, document control and guidance material.
Contribute to broader business management activities, projects and events across domestic and international functions, as directed.
Provide contingent Executive Assistant backfill support to the General Manager, International Operations Division (GMIOD) as required, including diary coordination, travel bookings and expense processing during periods of leave or peak workload.
