Job Summary:
Experienced
Discretion and professionalism
A natural, organised approach to registers, trackers and spreadsheets
About The Role
This is a dual-focus role for someone who thrives on owning processes, keeping things moving and closing every loop.
You’ll work directly alongside our senior leadership team, splitting your time between high-level executive support and hands-on HR administration. No two days will look the same, but every day will require the same thing: discipline, follow-through, and a genuine ownership mindset.
Part 1 – Executive Assistant
You’ll be the engine behind our executive team, anticipating needs, preparing materials, and making sure nothing falls through the cracks.
- Prepare agendas, take minutes, and distribute action items for executive and leadership meetings
- Coordinate travel bookings – flights, accommodation, and itineraries for senior leaders
- Manage calendars, appointments, and scheduling across the executive team
- Liaise with internal and external stakeholders on behalf of senior leadership
- Prepare correspondence, briefing papers, and presentations ahead of key meetings
- Provide personal assistant support to executives as required
Part 2 – Human Resources Assistant
You’ll support the day-to-day HR function, keeping our people processes accurate, compliant, and moving forward.
- Prepare and coordinate employment contracts, letters of offer, and variation letters
- Maintain and update compliance registers, recruitment, workers compensation, incidents, toolbox talks, and onboarding
- Coordinate end-to-end onboarding for new starters and visa employees (482), including inductions, medicals, and IT setup
- Support recruitment activity – scheduling interviews, liaising with candidates, and tracking outcomes
- Prepare HR correspondence and general staff communications
- Keep registers current in real time
- Assist with workers compensation admin and incident reporting documentation
What We Are Looking For
Experience level matters less than how you work. We’ll prioritise candidates who can demonstrate:
- Discretion and professionalism when handling confidential information
- A background in coordination, executive support, or process-driven administration
- Confidence following up managers and stakeholders, and escalating when required
- A natural, organised approach to registers, trackers and spreadsheets
- Exposure to HR, recruitment, or safety administration (desirable but not essential)
We’re looking for someone who wants to be a real part of a growing team, someone who shows up, follows through, and takes pride in doing things well. If that sounds like you, we’d love to hear from you.
